Our client in Chelmsford, MA is currently looking for a full time Dispatcher for their busy office! Job Duties:
 

  • Receive incoming service calls/emergency calls from our customers and potential customers.
  • Receive incoming calls from our service techs, they must call in once on-site and when leaving the site.
  • Document in Navision any issues the techs have at the customer locations.
  • Route and reroute service techs on a daily basis, document the schedule in Navision
  • Call customers to confirm company is coming on-site.  Calls should be made in advance conforming to customer’s request.  Worse case the day before, however this should not be the norm, confirmation is required in order for our techs not to be turned away.
  • Make dispatches within Navision for all quoted jobs
  • Work with GPC to schedule startups/Owners Training/commissioning.  Request as much notice as possible as we employ certain techs that specialize in these requests.
  • Follow up on Priority one jobs.  As techs come back from jobs and note there is a priority one quote needed (within 24 hours) the Dispatcher should call the customer and acknowledge the priority one.
  • Coverage for sick time or vacation as needed.  In a small company and a small department employees are often asked to step in and cover other functions as needed.
  • Invoice PM jobs; at the PM quotes and emergency call dispatches within Navision.
  • Enter comments in Navision of all completed dispatches.
  • Work with Finance to close out each month if there are any questions on dispatches.
  • Complete Jobs in Progress issues assigned to the Dispatcher.
  • Customer follow up – Call customer to follow up with our service, confirm they are satisfied with our work and acknowledge we have completed work as required.
  • Note within Navision all customer interactions, job status, tech notes, customer calls, etc.
  • Track all techs out of office time on the in-out calendar and notify Finance of any absent techs.
  • Work with General Manager for scheduling and other activity reports.
  • Maintain six hours a day of billable time for each technician.
  • Add dispatch information to Field Force Manager, the website interface for technician’s handheld computers.
  • Track techs location as needed in order to make an accurate decision when deploying a tech to an emergency call.
  • Other Dispatch duties as needed.
Requirements:
  • Experience with Microsoft Navision
  • 2-4 years experience dispatching
